As we continue to grow, we’re looking for an organized, detail-oriented Operations & Administrative Coordinator to become a key member of our Belleville leadership team. This role goes well beyond traditional administrative support-you’ll help keep our operation running efficiently by supporting order entry, ERP data integrity, reporting, executive administration, and strategic initiatives.

Position Summary

The Operations & Administrative Coordinator provides administrative and operational support to the Belleville leadership team while serving as a key resource for Global Shop ERP order entry, reporting, documentation, and special projects.

The ideal candidate is highly organized, technically proficient, proactive, and comfortable working in a fast- paced manufacturing environment where accuracy and communication are critical.

Primary Responsibilities

Operations & ERP Support

  • Enter customer purchase orders accurately into the Global Shop ERP system.
  • Verify pricing, revisions, due dates, quantities, and customer requirements.
  • Maintain customer and part master information.
  • Assist with order changes and ERP data accuracy.
  • Support production planning and scheduling with administrative tasks.
  • Help maintain accurate backlog and order status information.
  • Assist with inventory and production reporting.

Reporting & Data Analysis

Prepare and distribute recurring operational reports including:

  • Daily production reports
  • Open order reports
  • Backlog reports
  • On-Time Delivery (OTD) metrics
  • Customer shipment reports
  • Sales reports
  • KPI dashboards
  • Executive leadership reports

Review reports for accuracy and identify discrepancies before distribution.

Administrative Support

Provide administrative support to the Belleville leadership team by:

  • Scheduling meetings
  • Coordinating calendars and travel arrangements
  • Preparing meeting agendas and presentations
  • Recording meeting notes and tracking action items
  • Organizing electronic files and documentation
  • Ordering office supplies
  • Coordinating internal communications
  • Supporting company events and meetings

Customer & Internal Support

  • Assist with customer documentation and administrative requests.
  • Coordinate communication between Sales, Operations, Quality, Shipping, and Finance.
  • Support customer onboarding activities.
  • Prepare documents for customer meetings and business reviews

Special Projects

Assist leadership with projects including:

  • Process improvement initiatives
  • ERP enhancements
  • KPI development
  • Document standardization
  • Continuous improvement projects
  • Customer onboarding
  • Facility initiatives
  • Acquisition integration activities
  • Strategic planning support

Qualifications

Required

  • 3+ years of administrative or operations support experience.
  • Strong Microsoft Office skills, particularly Excel, Word, Outlook, and PowerPoint.
  • Excellent organizational and time management skills.
  • Exceptional attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities simultaneously.
  • Professional demeanor and ability to maintain confidentiality.

Preferred

  • Manufacturing experience.
  • ERP experience (Global Shop preferred).
  • Reporting and data analysis experience.
  • Experience supporting executive or leadership teams.
  • Experience creating dashboards or KPI reports.
  • Continuous improvement or Lean manufacturing exposure.

Compensation: $48,000-$60,000 annually, based on experience and qualifications.
