Location: Hoffman Facility – Velocity Metalworks
Schedule: 20 hours per week (Monday–Thursday, flexible hours)

Position Overview
We are seeking a detail-oriented and proactive Billing & Logistics Coordinator to support invoicing, shipping coordination, and day-to-day operations at our Hoffman facility.
This role sits at the intersection of accounting and logistics, ensuring shipments move on time and invoices are accurate and collected. It is ideal for someone with experience in shipping/logistics, freight coordination, or billing/AR support, especially within a manufacturing or industrial environment.
Key Responsibilities
Billing & Accounts Support
- Assist with invoicing and billing processes
- Follow up on aged Accounts Receivable to support timely collections
- Support Accounts Payable by matching invoices to check stubs and documentation
- Prepare and process outgoing billing and payment mail
Shipping & Logistics Coordination
- Coordinate shipments using UPS, LTL, and freight carriers
- Schedule pickups and communicate directly with trucking companies and carriers
- Prepare Bills of Lading (BOLs), shipping labels, and required documentation
- Track shipments and proactively resolve delays, missed pickups, or delivery issues
- Work closely with internal teams to ensure orders ship accurately and on time
Office & Operational Support
- Answer and direct multi-line phone system
- Greet customers, vendors, and visitors
- Handle incoming/outgoing mail and post office runs
- Maintain organized filing systems (physical and digital)
General Support
- Assist with various administrative and operational tasks across the facility
- Take on additional responsibilities as the role grows
Qualifications
- Experience in shipping/logistics, billing, or accounting support preferred
- Experience working with freight carriers, LTL shipments, or trucking companies strongly preferred
- Basic understanding of Accounts Receivable and Accounts Payable processes
- Strong attention to detail and organizational skills
- Ability to manage multiple priorities in a fast-paced environment
- Professional communication skills (customers, carriers, internal teams)
- Proficiency in Microsoft Office (Outlook, Excel, Word)
